These are the procedures regarding the secret discussion of candidates running for the Rotex International board. The secret discussion will take place at the Rotex International general meeting on Saturday, August 5th at 2 pm CEST.

Who can take part?
Rotex members from around the world are allowed to take part in the secret discussion. This includes members of Rotex International, national Rotex associations and local Rotex associations. Rotex International board candidates are not allowed to participate in the secret discussion. Non-Rotex (such as Rotarians and others) are also not allowed to attend the discussion.
Discussion Format
- Rotex International board members will review the discussion format and rules
- Rotex in attendance can then make comments or ask questions about the candidates
- Rotex International board members will write down a summary of the discussion
- Board candidates will then have the opportunity to address the comments made
Rules and Format
- Each candidate will be discussed. Candidates will be discussed one at a time
- When stating a comment or question, please state your name and Rotex association
- Rotex must tell the truth and respect all viewpoints brought up in the discussion.
- The discussion will remain anonymous. No one will share who said what with anyone outside of the secret discussion (board candidates, non-Rotex, etc.).
Rotex at the secret discussion are expected to comply with the format and rules. Rotex who do not comply with the last two rules will be removed from the secret discussion and will not be allowed to participate in future secret discussions.
Questions and Comments
Rotex will be allowed to make comments and ask questions during the secret discussion. The discussion should focus on the board candidates, their abilities and their suitability for the Rotex International board. Rotex may also ask questions to the current RXI board about any other relevant topics that would support them in making their election decision. Below is a framework to help Rotex think about what types of comments they could make during the secret discussion:
Past experience: Rotex may comment on their past working experiences with a certain candidate. These comments may be either negative or positive.
- Positive example: Two years ago, I worked with Candidate #2 on our local Rotex board. They completed their tasks on time and they always had a positive attitude.
- Negative example: I attended the Rotex International Convention with Candidate #3. They was always late to events and they did not actively participate in discussions.
Concerns: Rotex may bring up any concerns that they have about a candidate. This could be something from the candidate’s application or from past experience.
- Application example: Candidate #4 said that they are on the board of two other organizations. I am concerned about their ability to commit time to Rotex International.
- Past experience example: When we served together on our local Rotex board, Candidate #1 rarely communicated with us about what they were working on. I am concerned that they will cause communication problems for the RXI board.
Suitability: Rotex may express their thoughts about a candidate’s suitability for the board based on whatever factors they think are relevant.
- Rotex association example: Candidate #3 established their own Rotex association four years ago. Current RXI board members all come from well-established associations. I think that Candidate #3 could provide a new perspective to the board and help new
Rotex associations. - Time zone example: Candidate #2 and Candidate #4 are on time zones that are twelve hours apart. I think that could make it more difficult for the Rotex International board to schedule meetings and work together.
